Artificial intelligence can accelerate operations, improve decision-making, and unlock new possibilities. However, when organizations adopt it without a clear direction, projects can quickly lose momentum or fail without producing meaningful results.

To find the best automation opportunities, it is important to examine how work is currently performed, where time is being lost, and which repetitive tasks create the most friction. The challenge is rarely the AI model itself. Success depends more on selecting the right problem, introducing the technology effectively, and measuring its impact.

1. Begin with the workflow, not the software

A quick way to assess the situation

When a team spends more time comparing AI platforms than discussing the work that needs improvement, it is probably approaching automation from the wrong direction.

Speak with someone who performs the process regularly and ask them to identify the most frustrating part of their day. If they cannot explain the issue clearly in one sentence, the automation opportunity may still be too broad or poorly defined.

  • Key test: Can you identify the exact manual action that the automation will remove from the first day?

  • When the answer is unclear, refine the problem before choosing a platform or provider.

The smallest practical starting point

Create a one-page summary describing the problem, the people affected, and the result you want to improve. Then select the simplest AI capability that can create that improvement.

Depending on the workflow, this could include:

  • Classifying incoming requests.

  • Extracting information from documents.

  • Directing tasks to the appropriate person.

  • Generating initial drafts.

  • Summarizing large amounts of information.

Keep the first initiative focused on one workflow, one user group, and one measurable result.

2. Prioritize frequent tasks over unusual exceptions

It is easy to spend too much time designing a system that can handle every possible scenario. Teams may dedicate weeks to rare exceptions while the repetitive activities that consume the most time remain unchanged.

Look closely at the small actions employees repeat throughout the day. These may include copying customer IDs, moving between different dashboards, searching for information, or pasting similar updates into multiple systems.

Each individual action may only take a few seconds. However, when repeated hundreds of times every week, these minor tasks can collectively consume many working hours.

The best automation opportunities are often found in activities that are:

  • Repetitive.

  • Time-consuming when combined.

  • Based on predictable rules.

  • Frequently performed by several employees.

  • Easy to review or reverse when necessary.

Start with the tasks that happen most often. Automating simple and repetitive work generally produces faster and more visible benefits than building complex solutions for uncommon situations.

3. Consider how employees naturally behave

AI automation is not only a technical improvement. It also changes how people complete their work. When a new process feels slower, more confusing, or more demanding than the previous one, employees are unlikely to adopt it consistently.

A successful solution should fit naturally into the existing workflow rather than forcing users to completely change their habits.

For example:

  • Display important information exactly where it is needed, such as showing an order status directly inside a customer-support ticket.

  • Provide pre-written drafts that employees can review and edit instead of automatically sending responses.

  • Present short, useful suggestions at the right moment, such as: “The order status is ready. Send an update to the customer?”

The goal is to reduce unnecessary steps without removing human judgment. When the most helpful action also becomes the easiest action, teams are more likely to use AI confidently and consistently.
